Job Overview
We are looking for a detail-oriented, self-directed Event Marketing Associate to manage our event initiatives from early-stage planning through wrap-up and follow-through. Events play a central role in how PhoenixAI grows and connects with its audience, spanning technical meetups and appearances at flagship industry conferences. This person will make sure each program comes together seamlessly, connects with the right attendees, and generates trackable opportunities for the sales team.
Key Responsibilities
The Event Marketing Associate will handle every stage of PhoenixAI's events — coordinating operations and outreach through to reporting on results — working in close partnership with sales, marketing, and technical colleagues.
- Take full ownership of meetups, conferences, dinners, and partner programs from concept to close-out.
- Handle venue selection, sponsorship arrangements, vendor relationships, catering, booth setup, signage, promotional items, shipping, and travel logistics.
- Develop event schedules and keep colleagues, speakers, partners, and vendors aligned and on track.
- Produce landing pages, invites, social content, email outreach, and other materials to promote events.
- Work with speakers on presentations, demos, and run-of-show planning.
- Serve as a professional face for PhoenixAI and ensure attendees have a positive, welcoming experience.
- Make sure leads gathered at events are logged accurately and passed along to sales without delay.
- Partner with sales ahead of each event to define target accounts, meeting objectives, and follow-up plans.
- Monitor sign-ups, turnout, meetings held, qualified leads, pipeline impact, and event spend.
- Keep an up-to-date calendar of upcoming conferences, sponsorship options, and community gatherings.

Role Requirements
- Must currently live in the San Francisco Bay Area, or be prepared to relocate before the start date.
- Willingness to travel for events.
- Availability to work evenings or weekends as needed around event schedules.
Skills, Experience and Attributes
- Bachelor’s degree in Marketing, Communications, Engineering, Information Systems or related fields is required.
- Comfortable owning both high-visibility initiatives and the smaller operational tasks that keep events running.
- Strong organizational skills and consistent attention to detail.
- Ability to translate a loosely defined objective into a clear, actionable plan.
- Adaptable and composed when plans change on short notice.
- At ease engaging with technical speakers, partners, prospective customers, sales staff, and leadership.
- Eager to learn quickly and grow alongside an early-stage company.
Preferred, Not Required
- Experience from an internship or project involving events, marketing, community, hospitality, partnerships, or sales.
- Leadership experience within a student organization or technical community.
- Familiarity with LinkedIn, HubSpot, event platforms, or design tools.
- Exposure to developer tools, cloud infrastructure, data, cybersecurity, or open source
The base salary for this role is projected at $80,000 - $105,000 annually, plus eligibility for PhoenixAI's bonus programs.
Individual compensation will be determined based on permissible, non-discriminatory factors such as skills, experience, and geographic location.
